It is your responsibility to periodically save them to either your network folder or to an external drive. Keep in mind that any emails stored in the On My Computer section of Outlook are not being backed up. These archived emails will now appear in the On My Computer section of Outlook.

Select Apply Rule / Auto Archive 180 days (or whatever you called it above).

Note: this rule will need to be run on all of the sub-folders separately.

Right-click the folder you want to archive.

Run the Rule (this just needs to be done once – after this it will be automatic):

Move message / Archived Mail (or whatever you called the new folder created in Step 2 above).

In the section 'Do the following', define the criteria as:.

Date Received / Greater than or equal to / 180 days.

In the section 'When a new message arrives', define the criteria as:.

Name the rule (eg, Auto Archive 180 days).

Select Exchange from the On My Computer section.

Right-click the On My Computer heading (at the bottom of your regular email folders) and select New Folder.
